FOIA & Public Records Information

The Village of Hartsburg is committed to transparency and open access to public records in accordance with the Illinois Freedom of Information Act (FOIA) (5 ILCS 140).

At this time, the Village of Hartsburg does not employ any full-time staff.
Because of this, certain online posting requirements that apply to municipalities with full-time employees do not apply to Hartsburg (Public Act 97-0609).

However, the Village maintains records in compliance with state law and provides them to the public upon request.​

How to Submit a FOIA Request

FOIA requests may be submitted in any of the following ways:

Please include:

  1. Your name

  2. Contact information (email or mailing address)

  3. A clear description of the records you are requesting

 

​The Village will respond within 5 business days of receiving the request, as required by law. Additional time may be requested for larger or complex requests.

​

FOIA Request Fees

  • Electronic Copies (PDF/Email): No charge

  • Black and white copies (50 pages or less): No charge

  • Additional pages or color copies: $0.15 per page

  • Color or oversized copies: Actual reproduction cost

Public Meetings & Records Access

  • Agendas are posted publicly prior to each Board meeting at the Village Hall and the Post Office.  As capacity allows, agendas will also be posted to the Boardroom 411 page of the website. 

  • Approved Meeting Minutes are public records and available upon request. As capacity allows, meeting minutes will also be posted to the Boardroom 411 page of the website. 

  • Ordinances and financial records are maintained according to state records retention requirements.

  • The Village posts documents to this website as capacity allows, but public access is always available through request.

The Village of Hartsburg currently employs no full-time staff.


As such, statutory online posting requirements for employee compensation reports do not apply (Public Act 97-0609).


The Village does not participate in the Illinois Municipal Retirement Fund (IMRF).
